Typically, paper documents are passed from accounts payable through an office desk environment until being returned once an approval route has been completed. This process may involve coding of the invoice to particular ledger codes or other internal system codification. Whilst this type of manual system works for a high proportion of documents, it is always the exception to the rule which exposes serious business risks. An invoice waiting for too long in an in-tray may result in a key supplier placing your account on hold with potentially damaging results. Additionally, delays may result in accounts payable requesting a copy of the invoice from the supplier with the risk that with 2 copies out for approval it may be paid twice.
The main application interface provides many different views of the documents within the system and it is a simple process to identify who is currently approving a document. Invoices can be views by Approver, By Supplier, By Status or any other metric that can be ascertained from the real world document or the approval workflow.
Finally, once the defined approval route of a document is complete, a full electronic interface is provided to your back end systems meaning there is no chance of keystroke mistakes creeping into the process.
